In a context of very strong growth in activity and teams in a start-up situation, we seek an Executive Assistant (EA). Attached to the CEO, you support the team on site (DG and CEO) to enable them to carry out their missions. CDI – Paris. Opera sector. Negotiable salary 30-45KE depending on profile.

Responsibilities:
  • Organize, protect and optimize the time of the CEO in order to allow her to work in the best conditions with her project teams. Anticipate, plan and organize meetings related to fundraising, with a fine understanding of priorities and constraints while following the team. Facilitate and anticipate the organization of internal meetings. Assistance in steering the Management Committees and organizing Management meetings. Support the team in the management of planning and agendas.
  • Take charge of files, know their priorities and coordinate them, follow deadlines, reminders, different stages of projects.
  • Guarantee the circulation of information (signature management, processing and recording of letters, photocopies, sorting, filing, archiving
  • Unload the CEO of the administrative and logistical aspects related to the activity:
  • On the administrative and financial aspects: Provide support on monitoring investor contracts and potential deals in connection with financial services: NDA, contract, archiving. Ensure rigorous monitoring of costs related to costs, expenses, travel, and the establishment of regular meetings with financial services (controlling). Expense report of the Director and the President
  • Facilitate and organize business travel on all logistical aspects (cars, flights, hotels, visas, health and physical security, etc.)
  • Organize reservations for external or internal rooms with regard to the meetings that must take place there as well as all of the related services (organization of lunches, breakfast, etc.)
  • Organize events with the possible support of other team members
  • Ensure telephone and physical reception of French and foreign customers / candidates / members of the network
  • Organize meetings, seminars or events and manage travel in France and abroad (hotel reservations, travel tickets, visa);
  • Monitor leave and absences;
  • Manage orders and invoice processing;
  • Ensure the interface with IT for the arrivals / departures of new arrivals;
  • Process information, enter and update databases
  • Facilitate the flow of information and ensure the interface between the Company and all Departments and employees
Essentials Skills:
  • 3 to 6 years of professional experience, if possible, in an international environment.
  • You are interested in developments and transformations affecting the world, particularly in the pharmaceutical environment.
  • Analytical skills and pragmatism oriented towards problem solving, endowed with a positive spirit
