Assistant to Director Bilingual English/French

We are seeking an Assistant to the Director with excellent organizational, verbal and written communication skills to provide sales and administrative support for a government agency undertaking investment promotion and industry development. Fluency in English and French is required for the role (internally the working language is English). The ideal candidate should have experience in internal and external client liaison, be self-motivated, adaptable, and able to work independently with little supervision. CDD 18 months (possibility CDI at the end of this period). Starting April 2022. Salary negotiable according to experience to 50KE. Would suit an assistant with a consultancy firm background or similar.

Location: Paris centre
Responsibilities:
  • Interfacing with external clients and partners to request and secure participation at marketing initiatives and/or face-to-face sales meetings
  • Collating data, maintaining databases and proper documentation of files
  • Identify new leads and contacts from companies that are interested in setting up a business
  • Market scans through desktop research
  • Scheduling and coordination of calendars, meetings, travel and logistic arrangements
  • Organisation of events, including preparation and logistic arrangements. This includes events with Ministerial participation which involve a high attention to detail
  • Make teleconference and videoconference arrangements
  • Provide administrative support to the Regional Directors (i.e. visa, car, insurance, electricity, phone and internet subscriptions, etc)
  • Assisting Director with follow-ups and provide support on project facilitation as required
  • Handling external enquiries in a professional manner
  • Performing general office administrative duties, such as ordering office supplies, maintenance of contracts and assets, handling of mail and office equipment, etc
  • Maintain relationship with hotels and negotiate corporate rates
  • Finance responsibilities, including completing & tracking monthly expense reports and budgets, and filing claims
Essentials Skills:
  • Candidates must have work authorization in France
  • Minimally 5 years of administrative and executive support experience
  • Excellent written and verbal communication skills
  • Fluency in French and English
  • Proficiency in MS Office, including Word, Excel, and Outlook.
  • Candidates will also have to use internal CRM, finance, and scheduling systems
  • Ability to engage with senior executives and their personal assistants with a high level of confidence and professionalism
  • High level of accuracy and attention to detail
  • Ability to efficiently balance and prioritize tasks
  • Ability to work independently, as well as part of a small team
  • Ability to travel for internal team meetings and external engagements when necessary
  • High levels of motivation and persistence in problem-solving when faced with challenges
  • Candidates will have the opportunity to learn about various industry sectors and companies; interest and willingness to learn new knowledge and skills is critical
  • Familiarity with international business will be a plus, but is not required.
